Reservations are a critical component of the WebCheckout system. Patrons place reservations on resources in order to guarantee their availability at a particular date and time. Placing, editing, and deleting reservations, and looking for reservation information, are some of the most frequent tasks that WebCheckout operators do. This chapter describes how to do these and more.

This section describes how to place a reservation. This can be a very simple task, but it can also be complex. The basic procedure for placing a reservation is described first. Click on a More details link to see detailed information about that step.
Procedure 4.1. To place a reservation
Click the

icon to open the New Reservation screen.
Select the patron. More details.
Select the resources for this allocation. More details.
Select the pickup and/or due back dates and times (the selected dates and times apply to all resources in the allocation). More details.
Resolve any warning or error messages that may be displayed. More details.
When you are done selecting resources and dates, click the button, which opens the confirmation screen.
Complete the confirmation screen. This is where you can specify pickup and return options, deliver-to option, pickup people, and numerous other settings on this allocation. More details.
If you want to make the reservation repeating, click on the link at the top of the screen, add the repeat criteria, and continue committing the reservation. More details.
When you’re done, click the button.
You will be prompted for your PIN at this point. Different levels of users can override different warnings, so it is possible that your PIN will not have enough power to override certain warnings. In such cases, you will need to use a higher-level PIN (e.g., ask your manager to approve the checkout).
The screen reloads. The resources in this allocation are given a unique Checkout ID, such as CK-....

This section describes how to set up a repeating reservation. This is an optional step that you can do when you're placing a reservation.
Procedure 4.2. To create a repeating reservation
Follow the instructions in step 1 through Step 8 in Section 4.1, “Placing a reservation”.
Click on the link at the top of the screen, which opens the Repeating Reservation screen. The current reservation date and time settings are listed at the top.
In Add repeat criteria, set up the repeating schedule. You have two options:
1. If you need to repeat the reservation once on a specific date, select the month, date, and year from the drop-down lists, and click the button.
2. If you need to repeat the reservation multiple times, use these fields. Select the day of the week you want the reservation to repeat on. Note that this does not have to be the same as the day that the original reservation has been scheduled on. Then select the date range for how long you want the reservation to repeat. Click the button.
The screen refreshes. The repeat criteria you have set are added to the top of the screen, under the original reservation information. All instances of the repeating reservation are listed at the bottom of the screen.
If you make a mistake or need to change the repeat rules, select your repeat rules at the top and click the button.
When you're finished, click to return to the original reservation. The Make Repeating link is now called Repeating, and lists the number of times the reservation is scheduled to repeat.

Each instance of the repeating reservation is assigned a unique Checkout ID. These are listed on the Reservation Detail screen, on the Reservations tab.

The resources that are currently available for pickup are displayed in the right frame by default when the screen opens. The Due Back time and date are red for overdue resources.
To search for additional reservation information, enter different search criteria and click the button.
Search results are displayed in the right frame.
Click on a reservation ID ( CK-...) link to open the Reservation Detail screen, where you can pick up (i.e., check out) the reservation, edit it, or delete it.

The resources that are currently available for pickup are displayed in the right frame by default when the screen opens.
If you need to search for different reservation information, if you don't see the reservation the patron wants, for example, enter new search criteria and click the button.

Click on a reservation ID ( CK-...) link to open the Reservation Detail screen, where you can finish the pickup transaction.
Look over the reservation information. If everything looks OK, click the Pickup Reservation button.
The screen refreshes, displaying the checkout information, and the Agreement form is printed.
Have the patron sign the form and give them the copy. File the original signed copy of the form. Give the patron their checked-out materials.

This section describes how to edit a reservation, including chenging the dates and times, selected resources, and other reservation options. You may not change the patron, however.
Procedure 4.5. To edit a reservation
Click the

icon to open the Find Checkouts and Reservations screen.
Click the button to run the default search for resources that are currently available for pickup. Search results are displayed in the right frame.
If you need to search for different reservation information, enter new search criteria and run the search again.
In the search results, click on the reservation ID ( CK-...), which opens the Reservation Detail screen.
Click the button, which opens the New Reservation screen, displaying the current reservation settings.
Edit the reservation dates, times, and/or resources.
Resolve any warning or error messages that may be displayed. More details.
When you're done making changes, click the button, which opens the Confirm Reservation screen.
If necessary, edit the options in the Confirm Reservation screen. When you're done making changes, click the Confirm button.
The screen refreshes and displays the updated reservation information.

Sometimes, when patrons come to pick up their reservations, they need to make changes to the allocation, such as setting a different due date, selecting different or additional resources, or changing the options. This is different than editing a reservation, where you make the changes and the reservation is picked up later in a separate transaction. When you edit a reservation as a checkout, you make the changes as the patron is picking up the reservation.
Procedure 4.6. To edit a reservation as a checkout
Follow the instructions in Step 1 through Step 4, in Section 4.5, “Editing a reservation”.
Click the button, which opens the New Reservation screen, displaying the current reservation settings.
Edit the reservation dates, times, and/or resources.
Resolve any warning or error messages that may be displayed. More details.
When you're done making changes, click the button, which opens the Confirm Reservation screen.
If necessary, edit the options in the Confirm Reservation screen.
When you’re done, click the button.

If server printing is set up, the Agreement Form is printed out. Have the patron sign the form and give them the copy. Give them their checked-out materials and file the original signed copy of the form. For more information about printer setup, see Section 13.1, “About printing in WebCheckout”.
